Complaints Policy
At The Well we are committed to providing an excellent service to all those who we help, to our supporters and to our partners. We endeavor to always work in an open and accountable way that builds trust and respect.
We aim to resolve any complaints quickly, fairly and effectively.
One of the ways in which we can continue to improve our service is by listening and responding to the views of all those we serve, as well as our volunteers and partners and in particular, by responding positively to complaints and by putting mistakes right.
We aim to ensure that:
making a complaint is as easy as possible
we treat a complaint as a clear expression of dissatisfaction with our service which calls for an immediate response
we deal with it promptly, politely and when appropriate, confidentially
we will respond with an explanation, an apology or with information on any action taken within 10 working days
we will learn from complaints to improve the service that we offer
We recognise that any concerns raised may be informal, and the Project Leaders aim to deal with these quickly. If concerns cannot be satisfactorily resolved informally, then the formal complaints procedure will be followed.
A complaint is any expression of dissatisfaction with our service that requires a formal response. The complaint procedure is intended to ensure that all complaints are handled fairly, consistently and wherever possible resolved to the complainant’s satisfaction.
The Project Leaders will be informed of any complaint requiring a formal response and will:
acknowledge the formal complaint in writing
respond within 10 working days
deal reasonably and sensitively with the complaint
take appropriate action if required
If the formal resolution of the complaint by the Project Leaders is not satisfactory to the complainant, then an appeal can be made to the Board.
If the complaint relates to the Project Leaders then the complaint should be directed to the Board.
Except in exceptional circumstances, every attempt will be made to ensure that both the complainant and The Well maintain confidentiality. However, the circumstances giving rise to the complaint may be such that it may not always be possible to maintain confidentiality. Should this be the case, the situation will be explained to the complainant.
In the event of a complaint, please contact us in writing
